Most people use AI wrong — and it’s costing them time, money, and opportunities.

Let me explain.

When people think of “using AI,” they think of writing a prompt:
“Help me write this,”
“Explain this,”
“Draft that.”

But that’s not how the people making real money, real impact, or real efficiency gains are using AI.

They aren’t using AI for one-off tasks.
They’re using AI for repeatable systems.

And that’s called AI Workflow Design — a skill companies pay consultants $10,000+ to teach them…

…but today, you’re learning the basics from me for free.

Because technology may have been miseducated — but you don’t have to be.

What Is an AI Workflow? (And Why You Need One)

An AI workflow is a step-by-step, repeatable process that uses AI to do 40–60% of your work before you even sit down — and then hands the rest to you for strategy, expertise, and quality control.

It’s the difference between:

“Write me a caption for my business.”

and

✔️ “Here’s my entire content pipeline, with AI doing 70% of the heavy lifting before I ever log into Instagram.”

Professionals who use AI workflows:

  • save 10–20 hours per week
  • reduce creative burnout
  • stay consistent
  • scale faster
  • and avoid the chaos of “What do I ask AI next?”

This is why AI Workflow Design is the new foundational digital skill — and why I created an entire video breaking down the 5 AI skills everyone needs to stay competitive. Watch it here.

The 5 Core AI Workflows Every Business Owner Should Have

These are the exact workflows I use as an attorney, tech strategist, and creator — and the same ones I teach clients.

1️⃣ Research Workflow (Save Hours Per Week)

Instead of:
“Explain [topic].”

Use a research workflow:

Step 1: Ask Perplexity or ChatGPT to generate a list of subtopics
Step 2: Request citations + link verification
Step 3: Ask for summaries of each section
Step 4: Consolidate findings into a single outline
Step 5: Ask follow-up questions to fill gaps
Step 6: Cross-check key claims across tools

This workflow turns a 4-hour research project into a 30-minute process.

2️⃣ Content Workflow (Your New Content Machine)

Don’t prompt AI for random posts.
Build a content engine.

Here’s my 6-step content workflow:

  1. Generate 10 content ideas in your niche
  2. Turn the strongest ideas into short outlines
  3. Expand each outline into drafts
  4. Create YouTube, IG, LinkedIn variations
  5. Run copy through tone + clarity adjustments
  6. Use Canva + Beautiful.ai to design visuals

This workflow alone could double someone’s content output in a week.

3️⃣ Admin Workflow (The Silent Timesaver)

AI can handle:

  • calendar emails
  • meeting summaries
  • SOP drafts
  • customer service scripts
  • invoice reminders
  • FAQ responses

Here’s a simple admin workflow:

Step 1: Ask AI to convert a messy email thread (or meeting notes) into bullet points
Step 2: Request a draft reply
Step 3: Ask AI to draft SOPs for repeat tasks
Step 4: Paste SOPs into Notion for your team

The key here is to get repeatable tasks down to a workable template. Most people don’t realize how much admin AI can do — until they try this workflow.

4️⃣ Client Workflow (For service providers + consultants)

If you serve clients, this is essential.

My client workflow includes:

  • AI-generated intake questionnaires
  • Pre-call research and summaries
  • Session notes + recommendations
  • Post-call summaries
  • Draft deliverables
  • Client follow-up templates
  • SOPs for repeat requests

AI should be doing 40% of your client prep before the call even starts.

5️⃣ Data + Analysis Workflow (Your Strategic Brain)

You don’t need to be a data scientist.
You just need a data workflow.

Try this:

Step 1: Insert your data (survey results, analytics, transcripts, etc.)
Step 2: Ask AI to identify trends
Step 3: Ask for insights
Step 4: Request strategic recommendations AND review them (very important!)
Step 5: Convert insights into action steps or a report

This is very similar to how analysts and consultants use AI behind the scenes.

Real Example: My Personal AI Workflow System

Here’s a direct example from my own ecosystem:

My AI Podcast Workflow

  1. Research with Perplexity/ChatGPT
  2. Synthesize with ChatGPT
  3. Script with Claude or ChatGPT
  4. Record with the Teleprompter App
  5. Edit with Riverside.fm
  6. Post to platforms
  7. Repurpose into Shorts, Reels, and LinkedIn posts with ChatGPT
  8. Build visuals in Canva
  9. Upload copies of the AI-generated framework to Notion
  10. Use AI to build my SEO description + tags

That’s the type of system that saves me 15–20 hours per episode.

Why AI Feels “Random” Without a Workflow

Because you’re treating AI like a genie…
instead of a system that needs direction.

AI performs best when you:

  • give it structure
  • give it constraints
  • give it examples
  • reuse your prompts
  • build a repeatable blueprint

Workflow > Prompt.
System > Surprise.
Strategy > Chaos.

Ready to Build Your First AI Workflow?

Start with this template.**

Here’s a starter AI Workflow Design Template you can copy:

Step 1: Define the task
Step 2: Break it into steps
Step 3: Assign each step to AI or yourself
Step 4: Write a reusable prompt for each AI step
Step 5: Save everything in Notion
Step 6: Test + optimize
Step 7: Document the final workflow

This is the same process consultants charge thousands for (and their expertise of course!)

What’s Next?

I’m building an entire library of AI workflows for:

Final Thoughts

AI isn’t about mastering every tool. It’s about mastering systems.

If you can build reliable workflows, you won’t just save time —you’ll scale your entire life.
